Administrative Assistant – Operations
SUPERVISOR:

PURPOSE STATEMENT:
This position is responsible for providing administrative support for the Operations team in a professional and confidential environment.
RESPONSIBILITIES:
• Oversee ShelbyNext Financial program with account creation, and special reporting.
• Provides significant support to the accounting functions including account reconciliations, accounts payable backup, contribution statement preparation/mailing, various monthly & month end journal entries, statistical tracking and other financial projects.
• Responsible for overall church related cash receipts function in accounting, including regular contributions, and electronic web giving, daily and monthly bank reconciliations.
• Prepares weekly deposits of funds processed through electronic scanner and cash deposits.
• Administers and provides congregational support for the My Pathfinder online giving.
• Creates and sends files to Church Budget for bi-monthly envelope mailing to members.
• Provides administrative support to the Operations team, handles all correspondence, screens mail, performs follow-up telephone calls, coordinates personal calendar, maintains files, prepares expense reports, coordinates travel arrangements and reserves meeting rooms.
• Oversee Rock database contribution administration with scanning of checks, download of electronic giving and registrations and expertise to generate reports including weekly attendance and contribution reports for BOD.
• Prepares monthly membership changes for BOD report. Assembles & sends out monthly reports to BOD, BOE and Strategic Leaders.
• Run monthly & quarterly large donor reports for Senior Pastor.
• Create forecast/budget spreadsheets and master spreadsheets for budget season.
• Create new FY in Shelby, add new accounts, delete accounts & enter budget numbers after congregational approval.
• Send out email reminders for congregational meetings. Setup & run the check in module during the meetings.
• Prepares annual statistic report for LCMS and Lifeway annual report.
• Handles renewals for liquor licenses, business licenses and vehicle tags.
• Helps prepare labels and reports for all targeted and bulk mailings.
• Backup for receptionist with updating campus wide security and calendar systems.
WORK SCHEDULE:
Full time position working 40 hours a week with typical working days Mon-Fri. Must have flexibility to occasionally work longer hours occasionally.
QUALIFICATIONS AND EDUCATIONAL REQUIREMENTS:
• Previous administrative office experience preferred.
• Self-starter with a strong work ethic and the ability to multi-task; positive and friendly attitude; detail oriented and creative in seeking solutions to various problems.
• Familiar with Microsoft Word, Excel, Publisher; available for training in Rock database
• Strong personal commitment to Jesus Christ and a Pathfinder member, or willingness to join.
